Job Description

At Ivy Tech Community College, the Assistant Registrar - Data Analyst supports the Registrar’s office by overseeing processing operations and leading a team that handles student-related enrollment workflows. In this onsite role in Indianapolis, you’ll combine customer service, data handling, and reporting to help keep confidential records accurate and support express enrollment needs across outlying Central Indiana Region sites.

This position supervises processing functions, trains staff on key systems, and partners across campus to keep information aligned for students, faculty, and administration. You’ll also compose, prepare, analyze, and edit reports and confidential materials as needed by the College.

Key responsibilities

  • Provide student-focused customer service and advocacy through an approachable, adaptable style, strong problem solving, and a focus on student success.
  • Serve as a liaison to staff, faculty, and administration outside the Office of the Registrar.
  • Supervise the processing team and oversee all processing functions, including daily priority setting and workload planning.
  • Train new and continuing staff on Banner tasks and provide ongoing troubleshooting support for internal and external customers.
  • Use accepted higher education policies and practices related to processing functions, including accreditation requirements and transfer policies.
  • Conduct registration and other enrollment activities, including front-line coverage during busy periods.
  • Respond to inquiries from students, faculty, staff, and the general public, including triage and referral to resolve issues quickly and professionally.
  • Maintain and search student confidential files for accuracy and completeness, while processing confidential information in accordance with applicable standards (including FERPA).
  • Support accurate course equivalencies by maintaining regular contact with School and Program Chairs.
  • Provide guidance for data entry to other staff, faculty, and departments, and respond to internal requests for process and data-entry clarification.
  • Work with the Transfer Center and Academic Affairs to ensure accurate information is used to support students.
  • Define, understand, and use the student information system as necessary, including support and training related to U.Achieve for advising purposes.
  • Assist with admissions processing during peak times, including regular admissions applications, guest student applications, and high school and college assessment waivers.
  • Scan, verify, and index student record documents during less busy periods.
  • Support Student Affairs projects inside or outside the Registrar’s Office when additional assistance is needed.
  • Support outlying Central Indiana Region sites’ express enrollment needs.
  • Compose, prepare, analyze, and edit reports, correspondence, and general or confidential materials required by the College.

Requirements

  • Bachelor’s degree
  • At least 1 year of experience in a college setting
  • Knowledge of, or ability to learn, accepted higher education policies and practices related to granting credit and degrees, course structure, and grading practices
  • Excellent written and verbal communication skills
  • Ability to identify, research, and report viable options for problem resolution
  • Ability to expedite processing, track and verify processes, and follow up without direct supervision
  • Ability to set priorities, manage time effectively, handle multiple responsibilities simultaneously, and work with a diverse student, faculty, and staff population
  • Strong customer service orientation, organizational skills, and attention to detail
  • Ability to handle difficult situations and work effectively under stress
  • Excellent working knowledge of Microsoft Word processing, spreadsheet, and database software, plus the student information system
  • Proficiency with a data retrieval tool
  • Bachelor’s degree in Business, Public Administration, or Higher Education
  • Prior work experience in a Registrar’s Office
  • Availability:
    • Monday–Friday, 8:00 a.m. – 5:00 p.m.
    • Saturday, 9:00 a.m. – 3:00 p.m., 4 times a year
  • Demonstrated ability to support an environment reflecting the broad backgrounds of students and employees where individuals feel respected and valued
